Your questions, your data.

Kwazi collects only what it needs to answer your questions and run your account. Photos and voice recordings are read, then discarded.

What we collect

  • Account: your email address (through Firebase sign-in, including Google), your name, role (learner, parent or teacher), grade and province. A cellphone number only if you add one for receipts.
  • Questions: the text you type, and photos, papers or voice clips you choose to send. Photos, papers and voice are processed to read your question and are not stored by Kwazi.
  • Conversation support: when conversation history is enabled, question text and checked answers are kept for seven days so authorised operators can investigate errors. Uploaded files, photos and recordings are excluded. Stored text is included in your data download and removed when you delete your account.
  • Operational monitoring: authorised operators can see your display name in a private account and conversation directory, observed sign-ins and authenticated API activity, the grade and subject requested, request outcomes, errors and reported AI usage and estimated cost. Sign-in, API activity, request and AI-call records are kept for 90 days. Monitoring does not export emails, phone numbers or uploaded files to Grafana. Names are excluded from shared telemetry, logs and metrics. Deleting account data removes the private directory entry, sign-in and API activity records, and account link from request outcomes.
  • Usage: questions counted, subject and topic progress, check-yourself attempts, daily activity, your plan and the permissions you allowed (with the date).
  • Payments: plan, wallet balance and transaction history, reward funding, purchases and claims. Card details are entered on Yoco's secure page; Kwazi never sees them.
  • Rewards: your school, class, grade, province and contact details when you apply. An administrator checks your application. Your selected contact is used to send rewards you claim.

Who processes it

  • OpenAI reads your question to write the answer. Requests are sent with storage switched off.
  • Google Firebase handles sign-in.
  • Yoco processes card payments.
  • Twilio sends SMS receipts and claimed reward messages. WhatsApp is offered only when its sender and message template are configured. Email reward delivery, when offered, uses SendGrid.
  • Google Analytics measures page visits only if you allow optional analytics. Questions, names, contact details, payment references and account identifiers are excluded from our analytics events. Google may process your IP address and browser information.

Kwazi does not sell personal information or show advertising.

First-party usage totals

Kwazi counts landing-page loads and saved ask-first drafts by day without cookies, visitor identifiers, IP addresses or referrers in these counters. Reloads and bots may be included. Admins can view aggregate account, learning and payment totals from our service records; no account identity or question content appears in that usage dashboard. These operational totals are separate from optional Google Analytics.

Optional analytics

You can allow or decline analytics in the banner and change your choice using Analytics preferences, or in Me in the app. Google Analytics is loaded only after you allow it. Declining leaves learning and payments available. If you are under 18, ask your parent or guardian to choose.

Optional adult signup measurement

During web account creation, adults aged 18 or older can separately allow Google Ads to measure a completed signup. This is optional and is not enabled by guardian agreement or the analytics banner. We send a random signup reference and the ad click reference with a zero monetary value after successful verified registration. Names, email addresses, account identifiers, questions, messages and learning activity are excluded. Google may use cookies, your IP address and browser information; personalised advertising is disabled. Declining does not affect signup, learning or payments.

While waiting for email verification, an opted-in signup is matched on this device for up to seven days. The local account identifier is used only for that match and is never sent to Google Ads. The marker is consumed after verified sign-in or removed when it expires on the next check. A new verified social signup uses the same optional choice; existing-account sign-in is not a conversion.

Location, camera and microphone

Kwazi asks only when you use a feature. Location is used once to suggest your province; the coordinates are not saved. You can change these permissions any time in your browser settings.

Children

Learners under 18 should use Kwazi with a parent or guardian's permission. Parents can sign in on a learner's behalf and use the same controls.

Your rights

From Me in the app you can see and correct your profile, download your data and delete your account. Payment records are kept for accounting as the law requires.
